The repair order is a legal document — treat it like one

Auto repair is one of the most regulated paperwork trades in America. Many states require a written estimate before work, customer authorization for the repair (and re-authorization if the price grows past a stated threshold), an itemized final invoice, and an offer to return replaced parts. The work order — shops call it the RO — is where all of that lives. This template's authorization block, parts and labor tables, and notes field map to those requirements; your state's specifics (thresholds, disclosure text) belong in your terms.

Identify the vehicle completely: year, make, model, VIN, odometer in and out, and license plate if you use it. The VIN ties the record to the vehicle regardless of owner; the odometer reading dates the work in the way that matters for warranty and comeback questions.

Parts and labor, the shop way

Auto repair billing separates parts from labor as a matter of law in several states and of custom everywhere. Parts lines carry the part name and quantity at your selling price; labor lines carry the operation and hours. Whether you bill actual hours or book time from a labor guide, the RO should say which — customers who understand book time dispute far less. Sublet work (machine shop, glass, alignment sent out) gets its own labeled line, because reselling outside work without saying so is exactly the kind of thing state inspectors look for.

Record the authorization event itself: who approved, how (in person, phone, text), and when. "Customer authorized by phone 10:20 AM" is one sentence that ends most billing disputes before they start. If findings changed the price mid-job, the re-authorization gets its own sentence.

Findings, declined work, and the close-out

Write inspection findings as measurements: pad thickness, rotor measurement against discard spec, tread depth, fluid condition. Numbers turn "they said I needed brakes" into a documented condition. Work the customer declined belongs on the RO too, labeled clearly — declined recommendations protect the shop when the declined item fails, and they're the highest-converting follow-up list your service writer has. Close with the road test result and the completion date, and have the customer sign at pickup.
