Roofing Work Order Template

Roofing work orders protect both sides of a job where the failure mode is water inside someone's house. The form records what was found, what was fixed, and what the homeowner authorized — the record you need if a leak comes back. It's loaded below with a typical repair call; edit and download.

Description of work

Active leak reported over master bedroom. Inspection found a cracked pipe boot and three lifted shingles in the field above. Document the roof, not just the address

A roofing work order that says "fixed leak" is worthless the day the leak comes back. The professional version names the roof (material, approximate pitch and age), the exact area worked (rear slope over the master bedroom, not "the back"), and what was found versus what was repaired. Photos before and after belong with it. When water shows up again three weeks later — and on an aging roof it sometimes does somewhere else entirely — the specific record is what separates "that's a new leak, here's a quote" from an argument you can't win.

Repair vs. replace, and the authorization that protects payment

Most roofing service calls contain a decision: patch the aging roof or start talking replacement. Record the homeowner's choice on the order — "repaired pipe boot and shingles; declined replacement quote today" — and get the authorization signature before the work, not after the invoice. On a roof near the end of its life, that documented, informed choice is your protection when the homeowner later feels a repair "should have lasted." It shows the decision was theirs and the condition was disclosed.

Materials, safety, and the notes that become next season's job

Log the materials — boots, shingles, flashing, sealant — with quantities, and note the safety measures used (anchor points, fall protection); on a steep or high roof that note matters if anything is ever questioned. Use the notes field for the honest recommendation: roof age, adjacent worn areas, the flashing you'd redo next time. A documented "recommended, not performed today" line marks the boundary of this repair's responsibility and is the most reliable source of the replacement job you'll quote next season.

Roofing work order FAQ

What should a roofing repair work order include?

The roof's material, approximate pitch and age, the exact area worked, what was found vs. repaired, materials used, and before/after photos. Plus the homeowner's authorization and any repair-vs-replace decision.

How do you document a roof leak repair to protect against callbacks?

Name the specific area and source, photograph before and after, and record the water-test result. If a new leak appears elsewhere later, the specific record shows your repair held and the new issue is separate — the difference between a fresh quote and an unwinnable dispute.

Should roofers note recommended replacement on a repair work order?

Yes — a documented "recommended replacement, declined today" line protects you when a repaired aging roof is later expected to have lasted, and it's the most reliable lead for the replacement job you'll quote next season.
